Printing at the library can be a huge hassle, for both the library staff and the patron. After all, there’s only so much you can do when the printer fills up and so does the line. It’s not easy to print there and stay organized. What’s a staff person to do?
Look at it this way: Say that the person who is choosing to print is a library patron. They come in all the time, without fail. They don’t always need to print, but sometimes they do. In which case, when they log into your computers, you could have a set print quota for them and other library patrons already in action. A print quota is their limit—they can only print…five pages per day for free, for example.
Now say that that day they needed a few extra pages. So, they ask, “Is there anything you can do?”
With printer management software, you’re able to authorize the printing of additional pages. Whether you choose to charge a small fee is entirely up to you. Or maybe they won’t have a print quota in the very beginning and you authorize every print job to better log how much you’re using ink and paper-wise.
What this does is tracks down who printed each document (by their login), by the computer in which they used, and by the printer that the print job was sent to. This helps quite a bit when it comes to estimating your ink levels and paper levels. If you know you put about fifty pages into the printer, and the ink prints 1500 papers, all you have to do is to check your print log and see how many more print jobs can be accomplished until you finally need to add more papers or a brand new ink cartridge.
