  1. Q. Why can't I see the print jobs in Print Job Manager?  
    A.

1. Check the date range in the Print Job Manager main screen.

2, If Print Job Manager is run as a windows service, the default account to run the service is the Local System Account that may not have the administrator rights on some monitored printers (e.g. the network printers \\print_server\shared_printer) because it doesn't have administrator rights on the remote computer (e.g. \\print_server computer). Please go to Control Panel-->Administrative Tools-->Services-->Print Job Manager to change the Local System Account to the admin account that you used to log onto this computer and with which you installed the Print Job Manager software and has administrator rights on all printers.

If you use other domain admin account to run the Print Job Manager service, please login to the computer using that domain admin account, and add all printers that you want to monitor in Windows printer folder (Start --> Settings --> Control Panel --> Printers), so the print jobs can be tracked under that domain admin account when the service is running.

3, If you installed Print Job Manager service on Windows Vista / Windows 2008 / Windows 7 and print jobs are not tracked, please exit Print Job Manager, go to the installation folder (e.g. C:\Program Files\PrinterAdmin Software\Print Job Manager), right click “PrintSaver.exe”, then click “Properties”, select “Compatibility” tab, select “Run this program as an administrator” in Privilege Level and click OK button to save.

4, If you are using MS Access as the database (Preferences --> Print Jobs), the database may be backed up and reset automatically in  the menu item "Preferences --> Print Jobs  --> Backup / Reset Database",  the database with previous records is saved in the backup folder of the application folder (e.g. C:\Program Files\PrinterAdmin Software\Print Job Manager\backup) and the current database "printSaver.mdb" in the application folder is reset. To see the previous records, you can use Print Job Report to connect to the previous database in the backup folder, or you can use the menu item "Merge Database" to merge the previous database into "printSaver.mdb" in the application folder, so you can see them in Print Job Manager.

2. Q. How can I run Print Job Manager as a windows service regardless of whether someone is logged on?
    A.

You can install Print Job Manager service by clicking the menu item "Tools-->Install Print Job Manager Service", so Print Job Manager can still run when you logoff your computer.

The default account to run the service is the Local System Account that may not have the administrator rights on some monitored printers (e.g. the network printers \\print_server\shared_printer) because it doesn't have administrator rights on the remote computer (e.g. \\print_server computer). Please go to Control Panel-->Administrative Tools-->Services-->Print Job Manager to change the Local System Account to the admin account that you used to log onto this computer and with which you installed the Print Job Manager software and has administrator rights on all printers.

If you use other domain admin account to run the Print Job Manager service, please login to the computer using that domain admin account, and add all printers that you want to monitor in Windows printer folder (Start --> Settings --> Control Panel --> Printers), so the print jobs can be tracked under that domain admin account when the service is running.

Note: If you installed Print Job Manager service on Windows Vista / Windows 2008 / Windows 7 with User Account Control (UAC) enabled and you can’t find Print Job Manager service in Control Panel->Administrative Tools-->Services, please exit Print Job Manager, go to the installation folder (e.g. C:\Program Files\PrinterAdmin Software\Print Job Manager), right click “PJAdmin.exe”, then click “Properties”, select “Compatibility” tab, select “Run this program as an administrator” in Privilege Level and click OK button to save. Then you should be able to install the Print Job Manager service by clicking the menu item “Tools -> Install Print Job Manager Service” to install the service.

This will also avoid the following permission error when you click menu Print Jobs --> Update / Compact Report Database:

This will also fix the issue that the print jobs can't be tracked and are not showed in "Printed Jobs" in Print Job Manager.

 
  3. Q. I don’t get popup or Print Job Agent doesn’t track the local printer. How can I fix it?  
    A.

Solution 1:

If the print job agent installed on the client computer doesn't show active in Print Job Manager Preferences --> Advanced --> Check Agent Status, go to client computer, find and run c:\program files\print job agent\print job agent\serverip.exe. If the IP address of Print Job Manager server is not correct, please enter the correct one and click OK button, then check Print Job Manager Preferences --> Advanced --> Check Agent Status.

Solution 2:

The local firewall settings on Windows XP or Vista may prevent agent from connecting to server (Print Job Manager). Normally when agent is installed and it is run first time, it will be added to the exceptions automatically. If not, lease add "pagent.exe" (e.g. C:\Program Files\PrinterAdmin Software\Print Job Agent\pagent.exe) exception in firewall settings (Control Panel -> Windows Firewall). You can also use group policy to add pagent.exe to the exceptions of Firewall settings on multiple computers at one time at Print Management - Add Firewall Exception .

If it is already listed in the firewall exceptions list, you can remove it, then restart Print Job Agent. You will see the Windows message asking if you want to add Print Job Agent to the exception list. Click yes to add it to the exception list, then make testing.

olution 3:

The local firewall settings on Windows XP / Windows Vista / Windows 2008 / Windows 7 may prevent Print Job Manager from sending message to agent.

On the computer where has Print Job Manager  installed, add "printczm.exe" (e.g. C:\Program Files\Printer Admin\Print Job Manager \printczm.exe) to exception list of local firewall settings (Control Panel -> Windows Firewall).

Solution 4:

The computer name of workstation may not be resolved correctly by IP address on your network. The popup may be sent to a different computer.

On Print Job Manager menu Print Jobs -> Preferences --> Print Jobs, select "Convert unresolved IP address to computer name", then make testing. This will turn off auto resolving IP address to computer name.

Solution 5:

If popup still doesn't work after you try above solution and if you installed Print Job Agent on Windows Vista / Windows 2008 / Windows 7,  please uncheck "Internet Protocol Version 6 (TCP/IPv6)".

Solution 6:

 

If popup doesn't work on all client computers, please click Print Job Manager menu item "Print Jobs --> Backup / Reset Database" to backup and reset the database. If you can't see the menu item "Print Jobs --> Backup / Reset Database", please exit Print Job Manager, then rename the file C:\Program Files\Printer Admin\Print Job Manager\config\setdb to a different name, then start Print Job Manager again.

Print Job Agent must be installed on the workstations. In Print Job Manager 5.0 menu item "Preferences --> Advanced," the option “Track direct IP printer and workstation connected printer” must be checked.

    A.

  6. Q. How can I import Users / Groups / PINs to Print Job Manager?  
A.
 

The users / groups can be imported from the Windows Active Directory (Preferences --> Users / Groups --> Import) or a CSV file (samples). The users can also be added to the database automatically when they print.

 

7. Q. Can I assign the quota (the number of pages) each user can print each day / term? Can the quota be assigned automatically? How can I assign the balance based on the group?
    A.

Yes, The quota is assigned using account balance. For example, if the cost / page is $0.10, and each user can print maximum 30 pages per day, then you can assign balance $3.00 for each user per day. The "enable balance tracking" and "deny printing is the balance is less than or equal to 0" in the menu item "Preferences --> Policies". The balance can also be reset automatically by schedule. To reset the balance based on the group, select "Reset balance based on group" in "Preferences --> Policies --> Balance", then click "Edit Group" in "Preferences --> users/Groups" and define the default balance to be assigned for that group..

 
8. Q. All users log in with the same account in my lab. Can I still control the print jobs based on the user?
    A.

Yes. You can use Print Job Manager Premium Edition and enable authentication using "Another User" in "Preferences --> Advanced", and create user ID / PIN in "Preferences --> Users / Groups".
 
  9. Q. I get the database logon prompt when I  generate reports. How do I fix it?  
A.

This issue happens on some computers. The registry keys for both Seagate Software (Crystal Report) and Microsoft, which specify the path to the Microsoft Access “System.mdw” file are not pointing to the same location. System.mdw is the Access security file that contains user level security information.

Please try the following:

Option 1:

 

1. Click "Select Database" to select the sample database "printSaver_Sample.mdb" that is located in the installation folder of Print Job Report  e.g. C:\Program Files\PrinterAdmin Software\Print Job Report.

 

2. Click "Generate Report" and select a report from the dropdown list. If the report is generated correctly, then select the real database e.g. the database file in the installation folder of Print Job Manager.

 

Option 2:

 

If you have MS-Access 2007 installed on your computer, you can use it to open the database file e.g. C:\Program Files\PrinterAdmin Software\Print Job Manager\printsaver.mdb, then in Print Job Report, click "Select Database" and "Generate Report" to see if you can see the report.

 

Option 3:

 

1, Install Print Job Report on a different computer

2, Share the database folder from the computer where Print Job Manager is installed (e.g. C:\Program Files\PrinterAdmin Software\Print Job Manager).

3. Map the network share folder from the computer where Print Job Report is installed (e.g. \\Print Job Manager Computer Name\Shared Database Folder).

4, Click "Select Database" in Print Job Report and connect to the shared database (e.g. \\Print Job Manager Computer Name\Shared Database Folder\printSaver.mdb).

Option 4:

1, Exit Print Job Report if it is running.
2, Download
http://www.PrinterAdmin.com/download/SYSDB32.EXE .
3, Double click “Sysdb32.exe” to run it. If there are no Seagate
Software keys visible in Sysdb32.exe window, click "OK" and launch
Sysdb32.exe again. Running this utility a second time will create the
Seagate Software registry keys. Please see the following screenshot.
4, Start Print Job Report.



Option 5:

Download and install Microsoft Jet 4 Database Engine Service Pack 8 (SP8)

10. Q. Why do the print jobs show color even though the printer is black & white?
    A.

This may be caused by an incompatible printer driver. Please try a different driver such as PostScript, PCL etc.. If the issue still exists, please contact support@PrinterAdmin.com.

 
  11. Q. The job is printed out before users enter the user name and pin. How do I fix it?  
    A. 

Please check "Pause the print job on the print server until the print button is clicked on the popup" in Preferences --> Advanced. If this doesn't work, please check "Start printing after the last page is spooled" in the printer properties.

 
  12. Q. Can the waiting jobs on the different printers be cancelled automatically at a user-defined time?  
    A.

Yes, you can define the time you would like to delete all the waiting jobs by choosing menu item "Print Jobs  -> Preferences." The default time is 2:00am. The print jobs can also be cancelled automatically based on how much time they were held in the queue.

 
13. Q. Can I export partial or all of the print jobs data to a file?
    A.

Yes, you can select multiple rows by holding down the "Ctrl" Key or "Shift" key on your keyboard, and clicking the button on the toolbar to save. The saved file format can be Excel, HTML and Text.

 
  14. Q. Can I set the maximum allowable pages per print job for different printers?  
A.
Yes,  you can define the maximum pages per print job on each printer by choosing menu item "Print Jobs  -> Preferences" or click on the toolbar. To make best use of this feature, please select "Start printing after last page is spooled" on the "Advanced" tab of printer properties. The print jobs that exceed the maximum allowable pages will be deleted automatically and a message will be sent to the user if the "messenger" service is started on both the Print Job Manager computer and the user's computer.

  15. Q. I have enabled "send a popup message", but the users can't receive it. Why?  
A.

Please start the service "messenger" on the computer where you installed Print Job Manager 5.0 and the client computers.  If you are using Print Job Manager Premium Edition and Print Job Agent is installed on the workstations, you don't need to enable the messenger service, instead Print Job Agent on workstation will provide users with different print notifications.

  16. Q. The program hangs when I just run the software. The process printSaver.exe or printcz.exe is taking high CPU usage. How do I fix it?  
A.
 

1, If the process "printSaver.exe" is taking high CPU usage (90%), please check the followings:

1.1 If Print Job Manager is run as a windows service, the default account to run Print Job Manager service is the Local System Account that doesn't have the administrator rights on network printers (e.g. \\ print_server\ shared_printer) because it can't access the remote computer (e.g. \\print_server computer). Pease go to Control Panel-->Administrative Tools-->Services-->Print Job Manager to change the Local System Account to an account that has administrator rights on all printers. The best account on which to run Print Job Manager service is the admin account that you used to log onto this computer and with which you installed the Print Job Manager software. If you are using the administrator account to run Print Job Manager service, but the CPU usage is still high, please unregister msstdfmt.dll (Start --> Run --> regsvr32 /u msstdfmt.dll) and register it again (regsvr32 msstdfmt.dll), then restart the service.

If Print Job Manager is not run as a windows service, please check if your account has the administrator rights on the computer where Print Job Manager is installed and on all monitored printers. If yes, please unregister msstdfmt.dll (Start --> Run --> regsvr32 /u msstdfmt.dll), and register it again (regsvr32 msstdfmt.dll), then restart Print Job Manager.

1.2 If above doesn't fix the issue, kill printSaver.exe in Task Manager, Register scrrun.dll (regsvr32 scrrun.dll), then start Print Job Manager.

1.3 If above doesn't fix the issue, kill printSaver.exe in Task Manager, delete file c:\czdata\printjobs.txt if it exists, then start Print Job Manager.

1.4 Please check if your account has permission to change the date format in Start --> Settings --> Control Panel --> Regional Settings.

1.5 If above doesn't fix the issue, please contact support@printeradmin.com .

2, The process printcz.exe may take high CPU usage (30%), if

  •  some printers on the computer where Print Job Manager is installed are in "access denied" or "can't connect .." status
  •  there are a lot of holding jobs in the queues.

  17. Q. Can I generate reports in a languages other than English?  
A.
 

You can easily translate reports into your language by translating some strings in the menu item "Preferences --> Print Jobs --> Translate". Please see the Knowledge Base for more details.

 

18. Q. On which printers can Print Job Manager track the print jobs?
    A.

Print Job Manager supports all brands of printers. It can track the print jobs not only the Laser printers, but also Plotters, DeskJet printers and InkJet printers. If you want to track the print jobs on your DeskJet or InkJet printers, please include the string "DeskJet" or "Ink" in your DeskJet or InkJet printer name for the best results.

 

Print Job Manager 5.0 can track and control printing for the following type of printers:

  1. The printers on the print servers (e.g. \\print_server\printer).

  2. The printers connected to the workstations locally via LPT, USB or other ports.

  3. The printers connected to the network directly via IP address without using a print servers.

  19. Q. How can I enter client billing code for unattended batch printing (e.g. AutoCAD printing)?  
A.
 

Please add a line "client=YourClientBillingCode" without double quote in the file server_ip.ini in the installation folder of Print Job Agent (e.g. C:\Program Files\PrinterAdmin Software\Print Job Agent).

  20. Q. Can I view or reprint the content of the print jobs (waiting jobs / deleted jobs / printed jobs)? How can I move waiting jobs to a different printer or reprint printed jobs / deleted jobs?  
A.

Yes. If your printer spooling format supports EMF, then you are able to view the content of the print jobs (waiting jobs / deleted jobs / printed jobs) and move waiting jobs to a different printer or reprint printed jobs / deleted jobs. Print Job Manager must be installed on the print server, and the option "Save the content of printed jobs for viewing or reprinting" must be selected in Preferences --> Print Jobs.

If you can’t preview the print job, please follow the steps below:

Step 1: check if the spool file format is #####.spl where ##### is the number (for example 00002.spl) in the content directory e.g. C:\Program Files\PrinterAdmin Software\Print Job Manager\content. If yes, go to step 2.  If it shows FP#####,  please follow the instructions in Question 21 to turn off Spool File Pooling.

 

 

 

Step 2: Right click the printer in the windows printer / fax folder --> click Properities --> click Advanced --> select the option "Enable advanced printing features" --> click OK button, then send a print job and check if the above datatype is EMF and if you can view the content of the print job by double clicking it.  If yes, please ignore step 3 and step 4.

Step 3: If the data type is not EMF, right click the printer in the windows printer / fax folder --> click Properities --> click Advanced --> click Print Processor --> select NT EMF 1.008--> click OK button,  then send a print job and check if the above datatype is EMF and if you can view the content of the print job by double clicking it. If yes, please ignore the step 4.

 

Step 4: Exit Print Job Manager, restart print spooler service in control panel --> administrative tools --> service, run Print Job Manager., then send a print job and check if you can view the content of the print job by double clicking it.

If you still can't view the content of the print jobs, please check if your printer supports EMF datatype or your current printer driver support EMF datatype. You can also try a different printer driver such as Postscript driver.

  21. Q. How can I turn off spool file pooling?
A.

If you install Print Job Manager on Windows 2000, the spool file pooling is turned off by default.

If you install Print Job Manager on Windows XP, 

  1. Click Start, click Run, type regedit in the Open box, and then click OK.
  2. Locate the following registry subkey, where <printername> is the name of your printer:
    HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows NT\CurrentVersion\Print\Printers\<printername>
  3. In the right pane, right-click SpoolDirectory, and then click Modify.
  4. In the Value data box, copy the value from DefaultSpoolDirectory located in HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows NT\CurrentVersion\Print\Printers)

  5. Repeat step 2 to step 4 for the other printers.
  6. Quit Registry Editor.
  7. Restart the Print Spooler service. (Control Panel --> Administrative Tools --> Service)
  8. Restart Print Job Manager.

If you install Print Job Manager on Windows 2003 / Windows Vista / Windows 7 / Windows 2008,    

  1. Click Start, click Run, type regedit in the Open box, and then click OK.
  2. Locate the following registry subkey:
    HKEY_LOCAL_MACHINE\System\CurrentControlSet\Control\Print
  3. On the Edit menu, point to New, and then click DWORD Value.
  4. In the New Value #1 box, type DisableServerFilePooling, and then press ENTER.
  5. Right-click DisableServerFilePooling, and then click Modify.
  6. In the Value data box, type 1 to turn off spool file pooling, and then click OK.
  7. Quit Registry Editor.
  8. Restart the Print Spooler service. (Control Panel --> Administrative Tools --> Service)
  9. Restart Print Job Manager.

You can include the user login name in the file 'euser' located in the installation folder e.g. C:\Program Files\PrinterAdmin Software\Print Job Manager\config. The format is per user name per line, for example:

  23. Q. How can I install Print Job Manager on Windows Cluster Server?
A.

Please configure Print Job Manager in the group as a "generic service" or "generic application".

1, On both nodes, install Print Job Manager service in Tools --> Install Print Job Manager Service".

2, Restart both nodes.

3, After restart, go to Administrative Tools --> Service to stop Print Job Manager service, and set startup to Manual. On logon, please use the account that you used to install Print Job Manager software and has admin permission on all printers. Repeat this on the second node.

4, Leave the service stop, and let cluster start it.

If you install Print Job Manager on two nodes, two licenses will be needed.

  24. Q. Can I track the print jobs in Citrix / Terminal environment?
A.

Yes.

1. If Print Job Agent is installed on a Citrix /Terminal server, the file "terminal" must be deleted from the installation folder of Print Job Agent on the Citrix / Terminal server.  This file is created automatically when you run the agent the first time. After the file is deleted, you must restart the agent.

2. In Print Job Manager menu item "Preference --> Advanced," the option “Agent is installed on Citrix / Terminal server” must be checked and the option “Track only the printers in the list of Monitored Printers under Printers tab” must be unchecked.

3. Download and follow the instructions at http://www.PrinterAdmin.com/download/terminalAgent.zip .

  25. Q. How to avoid users to bypass popup window in order not to enter PIN or Shared # and resume the print jobs from their Windows Printer Folder?
A.

To avoid users to bypass popup window and resume the print jobs from the Windows Printer Folder, you can assign “CREATOR OWNER” only “Print” permission in the “Security” of the properties of the share printer on the print server.

If users end the Print Job Agent process in Task Manager, they will not be able to print. The only way to print is to click 'Print' button on Print Job Agent popup window.

  26. Q. I can't see the report when I select a report from drop down list. How do I fix it?
A.

If you can't see the report, please click "refresh" button on Print Job Report. If you still can't see the report, please check if you select the right database or date range. For Windows Vista / Windows 7/ Windows 2008, the database may be located in the following folder: C:\Users\<your_account>\AppData\Local\VirtualStore\Program Files\PrinterAdmin Software \ PrinterAdmin Print Job Manager.
